Cancellation & Rescheduling Policy

We understand that plans can change. As Hampshire Phlebotomy Services provides a mobile service and reserves dedicated time and travel for each patient, we kindly ask that you provide as much notice as possible if you need to cancel or rearrange your appointment.
1. Payment and Appointment Confirmation
Payment is required at the time of booking.
An appointment is not confirmed until the required payment has been received.
Hampshire Phlebotomy Services will not travel to or attend an appointment that has not been confirmed and paid for in accordance with the booking arrangements.
Any applicable travel charges, weekend fees, laboratory charges or other agreed costs will be explained before payment and confirmation of your appointment.
2. Cancellation or Rescheduling With 24 Hours' Notice
You may cancel or reschedule your appointment without a cancellation charge when at least 24 hours' notice is provided.
Where you cancel with at least 24 hours' notice, the amount paid for the appointment will be refunded, subject to any separate third-party costs that have already been incurred and cannot reasonably be recovered.
Alternatively, you may choose to transfer your appointment payment to a new appointment date.
Please contact us as soon as possible if you need to make a change.
3. Cancellation With Less Than 24 Hours' Notice
If you cancel your appointment with less than 24 hours' notice, the appointment payment may be non-refundable.
This is because the appointment time has been reserved for you and, as a mobile service, scheduling and travel arrangements may already have been made.
Where laboratory testing, cardiac reporting or another third-party service has already been ordered or paid for on your behalf, any refund relating to that service will also depend on whether those costs can reasonably be recovered.
We understand that genuine emergencies and exceptional circumstances can occur and may consider these circumstances individually.
4. Rescheduling With Less Than 24 Hours' Notice
If you request to reschedule with less than 24 hours' notice, we will try to accommodate your request where reasonably possible.
Where the original appointment time cannot reasonably be filled or costs have already been incurred, some or all of the original appointment payment may be retained.
Any payment required for the new appointment will be explained before the new booking is confirmed.
5. No-Shows and Patient Unavailability
If we arrive at the agreed address and you are unavailable, cannot be contacted, do not answer the door, or we cannot reasonably gain access to the agreed location, the appointment will be treated as a no-show.
The payment made for the appointment will normally be non-refundable.
A new appointment will require a new booking and payment.
Please ensure that your appointment address and contact details are correct and tell us in advance about parking restrictions, access difficulties, entry systems or anything else that could prevent us from attending.
6. Cancellation After Travel Has Begun
If you cancel after Hampshire Phlebotomy Services has begun travelling to your appointment or after we have arrived at the agreed location, the appointment will be treated as a late cancellation.
The appointment payment will normally be non-refundable.
7. Patient Preparation and Required Forms
You are responsible for being appropriately prepared for your appointment.
If you already have a blood test request or requisition form from your GP, consultant, healthcare provider or laboratory, you must have the required form and relevant documentation ready for your appointment.
Where Hampshire Phlebotomy Services has arranged eligible private blood tests through an external laboratory provider, we will arrange and bring the necessary laboratory documentation.
For blood collection appointments, unless you have been given different medical instructions, we recommend being well hydrated and keeping yourself and your arms warm before your appointment.
If the appointment cannot proceed because required patient-provided documentation is unavailable or because necessary preparation instructions have not been followed, the appointment may need to be rearranged.
Any applicable cost of a new appointment will be explained before rebooking.
8. Unsuccessful Blood Collection
Successful blood collection cannot always be guaranteed.
If we are unable to obtain a suitable blood sample safely, we may recommend stopping the procedure and rebooking the blood collection for another day.
You will not be charged another phlebotomy fee simply because the original blood collection was unsuccessful.
For the additional home visit, our normal travel policy will apply. The first 10 miles from our base to the appointment address are included. For appointments more than 10 miles from our base, travel beyond the first 10 miles is charged at £0.50 per additional mile, calculated one way.
You will be advised to be well hydrated and keep yourself and your arms warm before the rebooked appointment, unless you have been given different instructions by your healthcare provider.
9. If We Need to Cancel
On rare occasions, Hampshire Phlebotomy Services may need to cancel or rearrange an appointment because of illness, an emergency, severe travel disruption or another circumstance outside our reasonable control.
We will contact you as soon as reasonably possible and offer to rearrange your appointment.
If we cancel your appointment and an appropriate alternative cannot be agreed, the payment for the service we have not provided will be refunded.
10. Exceptional Circumstances
We understand that genuine emergencies and unexpected circumstances can occur.
Where appropriate, we may consider exceptional circumstances individually when applying our cancellation or rescheduling policy.
Any discretion offered in one situation does not automatically apply to future appointments.
11. How to Cancel or Reschedule
To cancel or reschedule an appointment, please contact Hampshire Phlebotomy Services as soon as possible.

12. Your Consumer Rights
Nothing in this Cancellation & Rescheduling Policy affects your statutory consumer rights.
